Notion vs ClickUp is the choice between a flexible workspace you shape yourself and a project manager that comes with the structure built in. Both handle tasks, docs and team knowledge, and both are adding AI agents fast. But Notion starts from the page and the database, while ClickUp starts from the task, the deadline and the person it’s assigned to.

We compared Notion vs ClickUp for a small team (an agency, a startup or a busy freelancer with collaborators) using both official pricing pages on 5 November 2026. ClickUp recently replaced its Unlimited plan with a new Core plan, which we cover below.

Short answer: in Notion vs ClickUp, pick Notion if your team mainly writes: docs, wikis, briefs, meeting notes and lightweight databases. Pick ClickUp if your team mainly ships: tasks with owners and due dates, sprints, workload, time tracking and client projects with many moving parts.

ClickUp plans

Free Forever$0$0Unlimited tasks and free members, 60 MB storage, docs, kanban, sprints, calendar view, 1 form

These are the plans on the ClickUp pricing page on 5 November 2026. In October 2026 ClickUp replaced its Unlimited plan with Core and raised Business to $17 per user (billed yearly), with AI credits pooled across users. Workspaces already on Unlimited or the older Business price keep their plan until they change it, so you may see those names in an existing account.

Note. On ClickUp, check which plan line-up your workspace is offered at checkout. The feature names are similar across both line-ups, but the limits on automations and AI credits differ.

All prices billed yearly. ClickUp is the cheaper of the two per seat. Notion’s Business plan costs more, but it bundles more AI features into the price.

Task and project management

ClickUp is the stronger project manager. Its hierarchy (Spaces, Folders, Lists, tasks and subtasks) maps directly to clients and projects, and every list can switch between list, board, calendar, Gantt and workload views. Dependencies, sprints, recurring tasks, time estimates and native time tracking are part of the product. For an agency juggling deliverables and deadlines for many clients, that structure saves a lot of setup.

Notion can do task management well, especially with its databases, which now support subtasks, dependencies and custom properties on every plan. But you design the system yourself: the properties, views, templates and relations. Some teams love that flexibility. Others spend weeks building a project tracker that ClickUp provides on day one.

Docs, wikis and knowledge

This is where Notion is the clear leader in any Notion vs ClickUp comparison. Pages nest inside pages, any block can be moved or linked, databases can be embedded in documents, and the result reads like a well-organised internal website. Company handbooks, client portals, SOPs, content calendars and meeting notes all feel natural in Notion. Notion can also publish pages as public sites and forms.

ClickUp Docs are capable: they live next to tasks, support rich formatting and can turn text into tasks. For a wiki that people actually enjoy reading, though, most teams prefer Notion.

AI features

Both companies are moving towards AI agents that do work, not just write text. Notion’s Business plan includes Notion Agent, Custom Agents (credit-based after a trial), AI Meeting Notes and Enterprise Search across connected apps. ClickUp’s Brain AI writes, summarises, answers questions across your workspace and powers AI automations, included on paid plans as pooled monthly credits (1,000 per user on Core, 1,500 on Business).

Ease of use

Notion is easy to start and harder to master: a blank page is simple, a well-designed team workspace takes thought. ClickUp is the reverse: there are a lot of settings and features on the first day, but the structure is already there once you learn where things live.

Using both together

Plenty of teams don’t choose. A common setup is Notion for the wiki, SOPs and client-facing pages, and ClickUp for the task board and time tracking. If you go that way, decide early which tool owns tasks, so work doesn’t end up tracked in two places.

Who should look at something else

If what you really need is a sales pipeline or client follow-up, a project tool is the wrong category; see our guide to the best CRM for small business, or GoHighLevel vs HubSpot for agencies. You’ll find more productivity comparisons in our design and productivity section.

Choose Notion if…

  • Your team writes more than it schedules
  • You want a wiki, SOPs and docs people will read
  • You like designing your own databases and views
  • You want AI included in the per-seat price

Choose ClickUp if…

  • You manage many projects, clients and deadlines
  • You need Gantt, workload and time tracking
  • You want task structure without building it yourself
  • You want the lowest per-seat price for a team

Notion vs ClickUp for an agency

Agencies are where Notion vs ClickUp gets interesting, because they need both strong documentation and tight delivery tracking.

  • Client onboarding: Notion makes a polished onboarding hub or client portal, and pages can be shared with guests (unlimited on paid plans).
  • Delivery: ClickUp maps cleanly to clients and projects, with due dates, dependencies, workload view and time tracking for billing.
  • SOPs: Notion’s nested pages and databases are the more pleasant home for processes your team will actually read.
  • Reporting: ClickUp’s dashboards (unlimited on Business) show workload and progress across clients.

Notion vs ClickUp for a startup

A small product team often starts in Notion, because roadmaps, specs, meeting notes and a lightweight task database live together. When the team grows and sprint planning, workload and reporting become daily needs, ClickUp’s built-in structure starts to save time. If you expect that growth, choose the tool now that you’ll be happy with in two years.

A simple way to decide

  1. List the five things your team does most often each week.
  2. Mark each one as mainly writing (docs, notes, plans) or mainly doing (tasks, deadlines, hand-offs).
  3. If most are writing, start with Notion. If most are doing, start with ClickUp.
  4. Run one real project in your choice during the free plan before you pay for seats.

Moving between Notion and ClickUp

ClickUp offers an importer for Notion; going the other way usually means exporting to CSV or Markdown. Either way, structure rarely survives perfectly. Expect to rebuild views, automations and permissions by hand, and move one team or project at a time rather than the whole workspace at once.

How we researched Notion vs ClickUp

We opened both pricing pages on 5 November 2026 and switched the billing toggles to record yearly and monthly prices, then read ClickUp’s help article on its new plan line-up and Notion’s AI documentation. We haven’t scored either tool on this page; scores come from the standard hands-on job described on our how we test page.
